Calendar Scheduling/Appointments/Messages

Main Responsibilities:

  1. Make sure owners are communicated with 
  2. Run monthly reports and pay clients
  3. Oversight of TRA employees
  • Add Properties
  • Add Owners
  • Process Management Agreements
  • Collect Management Fees
  • Run Owner Reports
  • Pay Owners
  • Property Inspections
  • Process Task and Work Orders for work needed for inspections
  • File Evictions
  • Attend Eviction Courts
  • Move out tenants/Process Security Deposits
  • Coordinate with Marshals to redeem properties after evictions
  • Make Deposits
  • Sign Checks
  • Communicate with Owners
  • Oversight of all employees

Main responsibilities:

  1. Emergency Issues handled and assigned
  2. Keeping work orders/task completely updated
  3. Move-in task updated and completed for new tenants
  • Emergency Line/Emergency Line Messages 
  • Send Leases
  • Get security deposits
  • Get deposit forms signed/uploaded in drive and buildium
  • Get leases signed/uploaded in drive and buildium
  • Get 1st months rent
  • Move-in Inspections completed
  • Get signs/lockboxes off properties
  • Online tenant portal link sent
  • Arrange for keys/move in
  • Follow up and make sure utility spreadsheet updated
  • Follow up and make sure move in list updated
  • Make sure properties are un-listed
  • Get Maintenance and bid approvals from owners and/or Dawn
  • Update task/work orders as needed
  • Follow up on work orders to make sure all completed correctly and timely

Main Responsibilities:

  1. Keeping all scans and documents in order and uploaded in drive and buildium.
  2. Keeping all Bills entered, processed, printed, and mailed properly. 
  3. Keeping utilities updated and scheduled accurately.
  4. Helping with phones 
  • Scan all mail and documents into scans folder
  • Rename all documents
  • Manage scans folder by moving all files to correct folders
  • Upload files to buildium as needed.
  • Enter bills for payment in buildium.
  • Keep keys in order
  • Maintain all utilities to be turned On/Off
  • Download all bills for TRA from vendors to workdrive
  • Download all bills for TRA from vendors to buildium
  • Get all bills ready to be paid and checks ready to print in buildium
  • Print checks and give to Dawn
  • Mail payments as needed
  • Make deposits as needed

Main Responsibilities:

  1. Answering Phones and messages
  2. Communication/Scheduling with tenants and office as needed
  3.  Communicating with Dawn on move out notices
  • Phones
  • Voicemails/Messages
  • Email Leads
  • Processing Move out notices
  • Make sure all information on listings up-to-date and accurate
  • Process Applications
  • Process Application fees
  • Schedule showings
  • Run Background/Credit Checks/Rental Verifications
  • Let Misti/Dawn know when background/Credit Checks/Rental Verifications come back so they can approve or not.

  3. Lockboxes/Signs are put out and picked up as needed
  • Check Mail and bring to the Ruston Office each morning

  • Check drop boxes and rent boxes in grambling, ruston, and west monroe

  • Marketing for The Rental Association
  • Zoho Form management
